Rebecca Black Law, P.A., an immigration law firm in Jacksonville, is seeking a reliable, detail-oriented Office Clerk/Receptionist to join our team. This role is essential to the smooth operation of our office and the quality of service we provide to our clients. The ideal candidate is organized, tech-savvy, professional, and comfortable communicating with clients from diverse backgrounds.
Responsibilities
• Operate common office equipment, including photocopiers, scanners, fax machines, voicemail systems, and personal computers.
• Answer telephones, respond to emails, direct calls appropriately, and take accurate messages.
• Communicate with clients, staff, and outside agencies to answer questions, explain information, and address concerns.
• Maintain and update filing systems, inventory, mailing lists, and databases—both manually and electronically.
• Compile, copy, sort, and file documents related to office activities, business transactions, and case matters.
• Organize and maintain legal documents, client files, and case-related records.
• Mail, fax, or arrange delivery of legal correspondence to clients, courts, and government agencies.
• Track invoices in Camplegal for client billing and expense payments.
• Prepare, proofread, and process legal documents including summonses, subpoenas, complaints, appeals, motions, and pretrial agreements.
• Make photocopies, scan documents, and manage digital case records.
• Send cases to case managers and track case progress through coordination with case managers.
• Perform additional administrative tasks as needed to support the legal team.
